Job Summary:
Whiteford is seeking a detail-oriented, proactive, and highly organized Legal Administrative Assistant to join its Wilmington, DE office. This position will support several attorneys with active litigation and business practices in Delaware, Pennsylvania, Maryland, and federal courts.
The ideal candidate will have at least five years of law firm experience and strong litigation support skills. Commercial bankruptcy experience would be beneficial but is not required.
The successful candidate will exercise sound judgment, anticipate attorney and case needs, take ownership of assignments, and deliver excellent service with accuracy, professionalism, and discretion.
Key Responsibilities:
- Prepare, edit, proofread, format, and finalize correspondence, pleadings, briefs, tables of authorities, tables of contents, and other legal documents.
- Prepare and submit electronic filings in the Delaware Court of Chancery, Delaware Superior Court, Delaware Supreme Court, federal courts, and other applicable state courts, including matters in Pennsylvania and Maryland.
- Coordinate service of process in state and federal court matters, including arranging service and filing proofs of service or non-service.
- Maintain attorney calendars, court deadlines, and case schedules, and proactively complete routine filing and procedural follow-up tasks.
- Draft and distribute routine client correspondence and maintain related client files.
- Open new client and matter files and organize and maintain electronic and paper files.
- Support case preparation by assembling exhibits, binders, correspondence, and other materials.
- Communicate professionally with clients, courts, opposing counsel, process servers, vendors, and internal team members.
- Process attorney expense reports, time entries, monthly client billing, professional dues, and other administrative tasks.
- Provide occasional document scanning, copying, and production support.
Skills and Abilities:
- Proficiency with legal document-management, time-and-billing, and case-management systems.
- Advanced legal document-formatting and proofreading skills.
- Advanced proficiency with Microsoft Word and strong working knowledge of Outlook, Excel, and PowerPoint.
- Proficiency with PDF software, including document conversion, manipulation, imaging, and scanning.
- Strong organizational and time-management skills, with the ability to prioritize competing responsibilities and meet deadlines in a fast-paced environment.
- Initiative and sound judgment to independently identify and manage routine follow-up tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong written and verbal communication, client-service, and collaboration skills.
Education and Experience:
- Bachelor’s degree preferred; high school diploma with relevant experience accepted.
- 5+ years of experience as a legal administrative assistant, legal secretary, or legal practice assistant in a law firm environment.
- Substantial litigation support experience.
- Experience with Delaware state court filings, particularly in the Delaware Court of Chancery and Delaware Superior Court, and with federal electronic filing systems, including CM/ECF and PACER.
- Familiarity with Delaware Supreme Court filings and Pennsylvania or Maryland litigation is preferred.
- Commercial bankruptcy experience, including familiarity with bankruptcy court filing procedures, is preferred but not required.
