Event Coordinator

The Event Coordinator is responsible for supporting the Events Department with services directly relating to stadium events. Work will include coordinating event services with other departments: catering, broadcasting, facility services, housekeeping, marketing, merchandise, operations, parking, partnerships, premium sales, security, ticketing, etc. Work may be reviewed through oral feedback, throughout meetings and by evidence of event client and team member satisfaction.

ESSENTIAL FUNCTIONS

Major & Internal Events:

Event Lead for designated events, to work directly with the client (pre-determined by employer) and delegate all client needs to the appropriate departments as necessary.
Event Vendors ? Negotiate and secure bids for equipment including carpet, pipe and drape, forklifts, cranes, golf carts, stake trucks, scissor lifts, portable restrooms, and all other items that are needed.
Act as liaison for clients between S.A.F.E. Management and Levy Restaurants.
Collaborate with internal departments to coordinate client events, determining space availability, staffing, equipment, A/V, and other assets as needed.
Ensure that all necessary signage is created and displayed for all events to accommodate guests.
Work with Digital Team to create and manage email schedule, including announcements and know before you go content.
Respond to all inquiries that come through on the Events@Lions.nfl.net address.
Detroit Lions Events:

Support the Ticketing Team and other departments game day needs, including coordinate behind the scenes activities and pre-game experiences.
Support 50/50 Raffle including set up, check-in/out, volunteer registration and other tasks as needed.
Bowl Events:

Organize and inventory all Bowl merchandise and support gift distribution.
Support logistics surrounding Bowl initiatives in the community.
Work with local restaurants to promote Bowl game.
Coordinate participating institutions marching band needs, including practice, equipment load-in, arrivals/departures, etc.
Take lead on one or more travel party/ancillary events.
Secure and coordinate team late-night snacks including trade value, logistics and delivery to hotels.
Coordinate team snack bags: secure quantities from sponsor and/or payment of snack items.
Assist Team Liaison at each Bowl hotel as needed.
NONESSENTIAL FUNCTIONS

Social Tables and Adobe Illustrator ? Create and update all required diagrams pertaining to each event by using these two programs.
Assemble profit/loss statements and break-even points to determine feasibility of potential events.
Assist in Operations Center during events.
Perform related work as required.
Strong attention to detail.
Strong guest service skills.
Ability to communicate effectively.
Ability to establish and maintain effective working relationships with colleagues and guests.
Ability to negotiate with clients and maintain effective working relationships.
Ability to work independently; to perform multiple, unrelated duties at the same time, and to organize work effectively and efficiently.
Ability to use MS Office (Word, Excel, Outlook, PowerPoint, Publisher, Adobe).
Ability to use Social Tables to create and update Ford Field spaces as needed.
Ability to operate portable radios, telephones, computers, printers, scanners, and other office equipment associated with responsibilities.
Ability to work in a fast-paced environment and able to juggle, shift gears and maintain a sense of humor and professionalism.
Ability to work with a flexible schedule in order to be available for scheduled events, including nights, weekends, and holidays.


REQUIREMENTS:

Bachelor degree in Communications, Marketing, Event Management or related field preferred.
Ability to work a flexible schedule including nights, weekends and holidays required.
Proficiency in MS Office (Word, Excel, PowerPoint and Publisher, including Outlook, and Adobe Illustrator)
Proficiency in Social Media (Facebook, X, Instagram)
This position is in-person at Ford Field.
Prior event management experience.
Skills: Bachelor degree in Communications, Marketing, Event Management or related field preferred.
Ability to work a flexible schedule including nights, weekends and holidays required.
